Hi I recently started an apprenticeship and have an assignment to complete but im finding it hard to complete the first question which says: Outline guidelines, procedures and codes of practice that are relevant to personal work. (Guidelines are ‘rules’ that explain to you how you should behave at work and how you should do a job in the right way). Any help on how to answer this question?? It has to relate to Business Administration

Hi Sarah,

No it's unit 18... the question is describe organisational policies, procedures and levels of authority in maintaining supplies. I have written some notes on it, but it's a bit of an odd on as my organisation doesn't have a procedure for this!

Ordering stationery
Procedures for ordering goods and services - Organizations have set procedures - Quotations or written specification may be necessary.
i've not done this one so ive had to do some research - write about the procedure you take when ordering supplies - if you do not order supplies write about how you would and the processes - do you have to print of receipts and pass ob to accounts - proof of purchase - delivery dates.

Policies may include procedures that must be done - If you are responsible for checking off goods
Insert clear ticks opposite each item correctly received in good condition.
Write clear notes if there are any discrepancies.
Initial your work so that if there are any queries people know who to come to for information.
If you are unable to check at the time write ‘received unseen’ when you sign.
Health and safety when storing stock - health and safety will be in your contract as policies
Keep flammable liquids away from heat.
Keep storage of dangerous/flammable substances to a minimum and label any potentially hazardous substances as such.

Private postal is well known as “courier” postal, internal posting. This is communication sent via paper mail or email that is within a company. Or a quicker approach would be to send via email, which is likely to receive a much faster response.

As slightly explained above there are many different reasons as to why businesses have different types of mail services. E-mail and Webmail are used to possibly deliver items to one big group of people at one time. The only issues being that if it is important information it may not get read due to other people’s mail boxes being overrun. There is also no way to tell if it has been read by the receiver or not. These two forms of mail service may also be used to send out dates for calendars, such as important meetings, or interviews. Postal services may be used to send hard copy receipts to customers, or information that has been requested. It could also be used to end out bills to customers, or pay checks to employees. Postal services can also be internal and can be used to transport paper work from one area in a work place to another should it concern them.
Courier services are normally used to deal with big packages, which they either deliver to companies or collect from them. Many companies may use them to send big items out. For example a car parts specialist may use a courier service to send a car part to someone who has ordered it. Or vice versa the car specialist has ordered stock and it is delivered by a courier service.
