The process is usually that the organisation/employer gives you the forms or asks you to complete an online version and that is then submitted (sometimes via a 3rd party if online) to the DBS Agency who do the actual checking. The form has to be completed absolutely perfectly, so the employer often checks what you have submitted, if using a paper version.

You can do your own basic check, but in certain jobs they can do higher level standard and enhanced checks. That means they get to see spent convictions as well.
In addition to working with children and vulnerable people, certain professions and certain jobs dealing with financial services can require checks.
these are covered in Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 and those prescribed in the Police Act 1997 (Criminal Records) regulations
