Resitting uni year confusion

Hi all,

I have just completed 2nd year and been informed that I have failed and must resit the year in full attendance. I am a bit confused about the situation and would appreciate any advice.

I have 10 modules of which 8 were exams and 2 were coursework.

I was extremely ill for 2 exams and so had to miss them. For a third exam I was still very ill but not longer contagious so I came in for the exam. I submitted mitigating circumstances forms for all of these and have been notified that the mitigating circumstances were accepted.

Here is what I am confused about:

The year in total is 60 ECTS.

If you achieve < 30 ECTS you must withdraw from the course
If you achieve 30 < ECTS < 45 then you must retake the year
If you achieve 45 < ECTS < 60 you do summer resits for those exams

One coursework module is 10 ECTs and the other is 5. One exam is 10 ECTS and the other seven are 5 ECTS each.

So you can fail upto 3 normal exams and do summer resits.

Therefore I must’ve scored at least 30 ECTS, and I know I passed both coursework modules:

Completed:
- Coursework 1 (10 ECTS)
- Coursework 2 (5 ECTS)
- 3 Exams must’ve been passed (5x3 = 15 ECTS)
= 30 ECTS achieved minimum as I have been offered the year resit

Mitigating Circumstances:
- Big Exam missed (10 ECTs)
- Regular Exam missed (5 ECTS)
- Regular exam completed but badly (5 ECTS)

This leaves 2 exams (5 ECTS each).

Therefore even if I failed both those exams + failed the exam I completed but put in a mitigating circumstances form, I would have failed 3 exams + 2 non attendance

3 normal exams failed is allowed to do a summer resit, and they said they approved my severe mitigating circumstances for the missed exams.

So I am confused as to why I have been told to repeat the year - I have spoken to them and they said they will hold a meeting to discuss, but in the meantime I am really worried and would appreciate any clarification if I have missed something


Furthermore, I have already started an industrial placement at my absolute dream company. For this reason I would like to request them to be able to re-take the test without attendance instead if they don’t let me do the summer resits. This would let me do my placement as normal, then take all of the 2nd year exams next May and then continue with 3rd year as originally planned. And I wouldn’t be wasting the year as I’m doing work directly related to my course.
Any advice on if this request is reasonable and how to go about asking them in the meeting would be really helpful.

The reason may well be buried within your uni's Academic Regulations. Which uni are you at?

I’m at Imperial. There’s no mention of that in the academic regulations and the rules for progression state what I stated above, unless in the case of mitigating circumstances which they said they already applied

Hi there,

The best thing to do would be to contact your university help team and see if they can help you with this. It's the best thing to do to get it explained to you properly and they can give you the best answer as every university's policies are different so this is the best way to get the answer you need.

If you have an academic advisor or a personal tutor, you could also contact them as they will be able to help you with this. This may be the best way to sit down and explain what yo have found and that you don't think you should need to resit as per the university guidelines and if you do they will be able to explain it for you and show the reasons why you do. Or, they may be able to help you in finding out why you have been told you need to resit if you don't actually need to do this.

You've said that "the mitigating circumstances were accepted", but haven't mention the impact of them having being accepted. For the two exams which you missed entirely, has it resulted in you being granted a deferral for those assessments? What about the assessment you completed whilst still ill, for which you completed a mitigating circumstances form? Did that result in a deferral being granted too?

Do those deferrals have a date attached? I ask as you write that "If you achieve 45 < ECTS < 60 you do summer resits for those exams" yet you then talk about "This would let me do my placement as normal, then take all of the 2nd year exams next May". Is it your expectation that you should be allowed to defer the three "mitigating circumstances" modules until next May?

Regulations for Taught Programmes of Study 2023-24 says (with my added emphasis):
"10.20. The Examination Board may decide to allow the student to:
a) be re-assessed without attendance in one or more pieces of assessment for the module by a specified date, or;
b) re-take the module, with attendance in the following year."

That would tend to suggest that the scenario you are hoping for (deferral for a full year, without attendance) doesn't actually exist - unless "by a specified date" could be a year in the future. You're either re-assessed during summer, or you re-take the module (with attendance) the next year. This breakdown would tend to suggest that too.
