My a level resits centre owe me money but they arent paying

I've been emailing the A-level resit center for several months, as has my mother, requesting a refund. However, I've received no response or confirmation from them. I have a receipt from the center for the 2 A-level resits and reference, totaling £850 and I paid via debit card.

Originally, I asked for a refund in early 2024 but, due to delays, I requested that the money be held for my 2025 applications instead. However, I've now decided to go to university this year and won’t be sitting the exams, so I’m requesting the refund again.

Despite my repeated attempts, they aren’t responding, and I'm unsure what to do next. What steps should I take to get my refund, given that they haven’t contacted me or provided any updates?
Contact your card issuing bank and ask about the process for initiating a chargeback (a dispute to reclaim the funds). Hopefully it’s not too long since the original transaction.

Take them to small claims court if ur up for it

Hi so I spoke to the director via whatsapp today this is what he said. ' I don’t think you’ve taken in to account that we charge for letters (they wrote some support letters for me so I said to them that's fine they can deduct that from the fees)' 'We also said at the instant when you cancelled your exams that we would move them forward to next sitting as a gesture of good will. We never discussed any refunds as we had to enter you for exams. So if we do any calculating you will be charged for letters. As far as we are concerned if you opt out of being entered for exams then you will lose the right to sit exams. I am afraid there will be no refunds due' (I already asked for refunds in 2024 which they agreed to due to delays however in receiving them I asked for the date change they should be able to see this in their text messages. I panicked at the time and asked for the date change as the refunds were taking so long this was before the date change. I asked them for the refunds so many times but they kept saying they'll process them soon each time so I thought they were trying to rob me of my money so asked for the date change to 2025 june exams instead as I panicked. I sent them so many messages about the refunds in 2024 to the point where a few days went by where they didn't reply to me when I kept asking about the refunds hence I thought my only option was to change the exams to 2025 hence I told them save my money and use it for 2025 exams instead. I have combined ADHD, anxiety and depression so please try to understand I was very anxious and panicked.) Please advise me on what to do now I genuinely need this money back and I don't understand why I can't get it back I feel they are conning me. From the beginning I have asked for the refunds. I only changed dates because they weren't giving it or replying they just said they'll give it soon.

Save the WhatsApp message and any other comma you get out of them.

Their response is either contractor your repost of it is. They’ll deduct fees of letters prepared, but won’t give a refund in any case?

Give them one last chance before you go back to your bank. Express surprise that they think no refund is due, explain how many times you’ve been in touch and that this is the first time anyone has mentioned that would be their position. Advise them they can deduct a reasonable fee for any letter admin.

Ultimately you need to read any terms and conditions they issued you. If it says entering you for the exam fulfils their contract, and after that point no refund is due, then going to your bank probably won’t help and the money is gone.

They didn't tell me anything about no refunds this is the first time they are saying something like this. Furthermore, the 2025 resits aren't until June and the exam boards said you can claim refunds till April 2025 for 2025 entry anyways so I don't get why they can't issue the refunds I've made a pretty compelling email to them will screenshots of all evidence I'm giving them untill Monday to sort this out otherwise I'll contact the bank like you said but do U think I should be entitled to the refund?

I’ve no idea because I haven’t seen the terms and conditions you accepted when you made the booking.

Hi firstly thanks so much for Ur help Ur honestly awesome it's been really good getting all this advice. Secondly there were no terms or conditions or contracts I literally just put in my details my exams I want to sit and then made the payment the only terms was that U can't sit the exams until it's been paid I have a screenshot of the terms page it's literally got nothing on it but what I just mentioned.

Hi,
I’ve worked in an exam centre as an invigilator before so I know about the process.
When you enrol for an exam, the exam centre takes your payment to pay the exam boards for the papers you requested.
If you decide to not sit the papers, then you do not normally get a refund because the papers have been paid for in advance.
The paper arrives at the exam centre regardless if you turned up to sit the paper or not, because as I said, you already paid for them.

I would go directly to your exam boards and see what they say.

Hi so they told me to speak to the centre. As it stands from everything I've gathered from the exam boards it seems the refunds are with the exam centre they just arent giving them to me. They never told me anything about no refunds. I'm going to email them one last time I have been trying daily and they don't reply after that I'm going straight to the bank to start the chargeback
Hi everyone so I've been consistently emailing the exams centre and messaging them to no avail. I kept evidence of everything - the payment I made, the statement that they would refund me last year etc and I believe I have a pretty strong case. I cannot afford to go to court due to money and university. I explained everything to them and contacted the exam boards. Based on all the evidence it seems the resit centre hold the refunds and aren't giving it back. What should I do now chargeback through the bank?
